Restaurant

Run your restaurant, bar or café from the same app as the rooms. Waiters open an order against a table, send items to the kitchen, and settle it — either at the table or by moving it onto a staying guest's room bill.

Setting up takes about fifteen minutes and only has to be done once.


Set up your restaurant

Work through the three tabs under Settings → Restaurant in this order. Each one depends on the one before it.

1. Tables

A table is anything an order can be opened against. Give each one the name your staff actually says out loud — that is what appears on the order screen.

Takeaway and delivery are handled as tables too, so create those as well:

How many takeaway tables?

One order occupies one table at a time, so create as many takeaway entries as you might have parcels being prepared at once. Three or four is plenty for most kitchens.

2. Menu categories

Settings → Restaurant → Categories

Categories are the sections your menu is divided into — Starters, Main Course, Desserts, Drinks. You need at least one before you can add a dish.

Field What it does
Category The section name, shown as a heading on your online menu.
Position Controls the order sections appear in. Higher numbers appear first. Leave it at 50 and raise only the ones you want pinned to the top.

3. Dishes

Field What it does
Name What the guest reads, e.g. Chicken Tikka Masala.
Category / Segment Which menu section it belongs to.
Discountable Turn off for items that must never be discounted, such as bottled water or cigarettes.
Default price Your normal dine-in price.
Price mode 2 / 3 Alternative prices — see below. Leave at 0 if unused.
Tax The tax class for this dish.
Position Order within its category, on your online menu. Higher appears first.
Best seller Marks the dish as a highlight on the record. The online menu does not currently give best sellers a section of their own — use Position to put a dish at the top of its category.

Check whether your prices include tax

The price field is labelled either (including tax) or (excluding tax), following your setting in Settings → Admin. Getting this backwards misstates tax on every bill. Enter one dish, take a test order, and check the tax line before typing in the rest of the menu.

Price modes

Price modes let one dish carry three prices. Mode 1 is your normal dine-in price; modes 2 and 3 are for channels that charge differently — food aggregators, or a rooftop bar with its own tariff.

You choose the mode when taking the order, and the whole order is priced at that mode. Leave modes 2 and 3 at 0 if you only ever sell at one price.


Your online menu

Your menu also exists as a public web page — no login, nothing to install, and nothing to keep in step: it is the same dishes, categories and prices you just set up.

The guest-facing menu

Online Services → Online Restaurant Menu in the main menu shows the link and a QR code. Print the code for the tables, put it at reception, or send the link to a guest who asks what you serve.

What a guest sees: your dishes grouped under their categories, each with its price, ordered by the Position you set. Nothing else — it is a price list, not an ordering screen. Guests read it and then order from a waiter or by phone as they always did.

It updates itself

There is nothing to publish. Change a price or add a dish under Settings → Restaurant → Dishes and the page carries the change the next time somebody loads it — which is the main reason to use it instead of a printed card.

The prices shown are your default price mode

A dish's price modes 2 and 3 never appear online. If your aggregator price sits in mode 2, the public page still shows mode 1 — which is normally what you want, but check it before printing a hundred QR codes.

Pick the table. Only free tables are shown — a table with an open order on it disappears from the list until that order is settled or cancelled, which is what stops two waiters opening the same table twice.

The order opens with the status Open and its own order number.

Send items to the kitchen

A KOT — Kitchen Order Ticket — is one round of food sent to the kitchen. Add the dishes and quantities, then send it. Each ticket gets its own number so the kitchen can work through them in order.

Add a fresh ticket for each round the table orders. They all stay attached to the same table order and appear together on the final bill.

If something is sent back or given away, mark the item on the ticket:

  • Cancelled — the guest never received it.
  • Complimentary — the guest received it, on the house.

Both are left off the bill but stay on the record, so your kitchen reports still show what was actually made.

Tickets close with the order

Once an order is invoiced or cancelled, no more tickets can be added and existing ones can no longer be edited. Take payment last.

Field When to use it
Name / Contact number Optional. Worth filling in for takeaway and delivery.
Price mode Switches the whole order to price mode 2 or 3.
Discount % A percentage off the whole order, 0100. Applies only to dishes marked Discountable.
Split bill Divides the total into equal parts.
Kitchen notes Allergies and special instructions.

Generating the invoice prices every uncancelled, non-complimentary item, applies the discount, adds tax, and closes the order. The table is freed for the next guest and the order moves to Invoiced.

Generating the invoice is final

An invoice can be voided by an administrator, but it cannot be edited back into an open order. Add every round to the ticket before you bill.


Move an order

To a different table

Order → Change Table

Moves the whole order, tickets included. Only free tables can be chosen.

To a guest's room

Order → Room Service

Order → Room Service

Moves the food onto a staying guest's bill instead of settling at the table. Pick the booking and choose Move — the tickets transfer to that room and the table order closes.

The charge is then settled with the rest of the guest's stay at check-out, either on one combined invoice or as a separate food invoice, depending on your Settings → Admin preference.

Only checked-in guests appear

A booking has to be checked in and not yet checked out to receive food charges. Guests who have not arrived, or who have already left, are not listed.


Day to day

Where What you see
Restaurant → Open Every table currently occupied. This is the waiter's working screen.
Restaurant → History Past orders by date range, with their status.
Search Any order by its number, or by the name or phone taken with it.
Reports Sales by dish and category, and what was comped or cancelled.

Take the name and number for takeaway and delivery

The Name and Contact number on the Guest tab are optional, and for a table in front of you they rarely matter. For anything leaving the building they are what makes the order findable later: a diner who phones back about a delivery is not in your guest book, so the order is the only place their name is written down. Typing either into search brings it straight up.


Common questions

A table is missing from New Order

It already has an open order on it. Settle or cancel that order and the table comes back. Deleted tables also disappear — check Settings → Restaurant → Tables.

Can I change a price for one order only?

Not on the dish itself. Use a Discount % on the order, or switch the order to a different Price mode.

A dish is off today — should I delete it?

No. Deleting it affects your record of past orders. Leave it in place, or move it into a category you have pushed to the bottom with a low position number.

The bill total looks wrong

Check the dish's tax class, and whether your prices are tax-inclusive or tax-exclusive under Settings → Admin. Cancelled and complimentary items are left out by design — that is usually the difference.
